Director of Operations
Responsibilities:
HCA is looking for a Director of Operations to operationally oversee two campuses serving children and their families from Pre-K through 12th grade. This position will work in conjunction with the school board; the principals for each school, as well as administrative staff to ensure both campuses are running smoothly and are meeting short and long term goals.
Operational Functions:
· Lead the development and implementation of the strategic direction for all operations to support and achieve HCA’s vision and goals.
· Local point of contact for all on site operations for two campuses including transportation, foodservices, facilities maintenance, security, third party service contracts, and ensuring ongoing monitoring and implementation of initiatives set forth together with other leaders of the school.
· Oversee all aspects of free and reduced lunch program/process, including managing the entire application process.
· Assist the Director of Technology with technology assessments and usage (planning, procurement, and training).
· Oversee enrollment at school in conjunction with the Admission Director, by working with the school leadership, secretaries, teachers and central enrollment department/advertising to meet enrollment targets.
· Utilize the FACTS system as it relates to admission functions.
· Work with school personnel to maintain integrity and accuracy of student records, including maintenance and tracking of attendance and retention.
· Work with school staff to manage reporting and data tracking for all special education programs.
· Prepare reports for onsite operations.
· Support all operational and logistical projects.
· Respond to and resolve routine internal and external inquiries with parents, employees and school organizations as it relates to facilities, financial and human resources.
Financial Administration Functions:
· Responsible for site level budget monitoring and management with input into budget development.
· Review monthly financial reports and update monthly financial estimate templates.
· Manage and reconcile the school's petty cash funds.
· Provide financial oversight, including invoice approval
· Oversee year end audits as well as any site audits from state or federal agencies
· Recording financial transactions for invoices to be paid in a timely manner
· Assist third-party accounting firm and investigate all issues for account receivables and payables.
· Perform audit on all purchase orders and invoices and manage requisition vouchers as required
· Enter all invoice information into a third-party accounting system, coding them correctly to the proper accounts.
· Answer questions from faculty, staff, and families related to business activities.
· Maintain financial security by following internal accounting procedures and controls.
· Manage faculty and staff credit cards.
· Utilize the FACTS system as it relates to business functions.
· Distribute monthly reports to budget owners, HOS, and board members
· Support the board with organizing meeting information and policy information.
· Manage donor information
Human Resource Management Functions:
· Manage day to day activities of designated, non-‐instructional staff.
· Implement policies and procedures at school (e.g., compensation, vacation/sick days; recruitment screening, background checks, etc.).
· Oversee the processing of all new hire paperwork.
· Maintain personnel files for all employees.
· Develop orientation for new hires.
· Lead annual performance reviews for non-‐instructional staff.
Qualifications:
· Education: Bachelor’s Degree in Business, Accounting or Finance or qualified work experience.
· Preferred skills and work experience:
o Demonstrated success in monitoring budgets
o Demonstrated success in managing contracts
o Experience working in education organizations.
o Experience with staffing processes and general human resource procedures.
o Operations and facilities management experience.
o Knowledge of financial modeling (using Excel) and cost analysis techniques.
o Experience in managing and enforcing service level agreements and contracts for outsourced services.
o Demonstrated ability to manage staff of exempt and nonexempt employees.
· Demonstrates persistence in overcoming and removing obstacles to goal achievement.
· Demonstrates a drive, commitment and sense of urgency that inspires others to achieve results.
· Implements and monitors relevant work procedures in line with defined standards.
