POSITION SUMMARY:
The Director of Finance and Administration serves on the senior leadership team and provides the administrative leadership, management, and vision necessary to ensure that the school has the proper operational, administrative, financial, and reporting controls and procedures as well as people systems in place to effectively grow the organization and to ensure financial strength and operating efficiencies. The position accomplishes this through a respectful, constructive, and energetic style, guided by the mission, vision, and core values in alignment with the school’s strategic plan.
ESSENTIAL JOB DUTIES:
The Director of Finance & Administration is/will:
LEADERSHIP & STRATEGY
- Provide day-to-day administrative leadership and management to ensure adherence to the school’s mission and core values. Serve on the leadership team to support staff oversight and compliance with the school’s strategic objectives and follow best practices.
- Provide strategic direction, insights, and forward movement toward school goals and board directives as guided by the Head of School. Analyze, develop, communicate, and implement effective growth strategies and processes.
- Collaboration, guidance, and delegation as needed with school staff to provide financial resource management, administrative management, information systems management, human resource management, and facility management of the school
- Serve on the following committees to drive actions forward: Strategic Planning, Finance Committee, Risk & Audit Committee, Advancement, and any ad hoc committees as needed.
- Monthly and periodic reporting to the AIS Board of Directors. Attendance and presentation at monthly board meetings and an annual retreat.
- Benchmark systems and information to assess trends and make appropriate actionable recommendations across school functions.
ADMINISTRATIVE MANAGEMENT
- Provide professional leadership and management of school administrative staff in partnership with pedagogical leadership and faculty, to enhance their effectiveness to achieve improved standards of learning and achievement in the school. Help define the responsibilities of team members and establish areas of professional growth and development.
- Responsible for the measurement and effectiveness of all processes internal and external. Provides timely, accurate, and complete reports on the operating condition of the school, presenting information to school management and governing board to guide decision-making. Establish and use effective methods to review and improve administrative systems.
- Collaborate with the management team to develop and implement plans for the operational infrastructure of systems, processes, and personnel designed to accommodate the growth and change objectives of the school. Link processes across school departments and functions to provide a synergy of efforts.
- Motivate and lead a high-performing administrative team; attract, recruit, and retain members of the team not currently in place; provide mentoring, and ongoing performance management to direct reports and school staff.
- Collaborate with the Admissions Officer on admissions planning and management as it affects financial and operational sustainability and growth.
FINANCIAL MANAGEMENT
- Analyze data, conduct financial planning, and develop a realistic and balanced annual school budget, in partnership with the Staff Accountant, which meets the growth objectives and needs of the school.
- Consistently and actively monitor the financial performance of the school against the annual budget and strategic objectives, making recommendations and adjustments operationally as needed.
- Maintain a strategic long-term financial plan that will indicate the trends and requirements of the school’s strategic plan and balance the needs across departments of the school.
- Identify additional financing required to fund the school’s proposed activities and discuss and collaborate with the executive leadership team and school board. Ensure proper cash management of resources for ongoing operational sustainability.
- Ensure financial policies and procedures follow Generally Accepted Accounting Procedures (GAAP) and best practices. Train and monitor all faculty and staff on documentation and financial procedures, ensuring compliance with school policies and board financial guidelines.
- Oversee the Staff Accountant’s work with the annual audit and in dialogue with the Risk & Audit committee. Support the Staff Accountant with documentation checklists and fieldwork.
- Serve on the Finance Committee and Risk & Audit Committee reporting, advising, and consulting as needed.
HUMAN RESOURCE MANAGEMENT
- Manage the payroll services for all school staff. Train Staff Accountant on payroll processes and recordkeeping.
- Manage employee benefit programs including the management of retirement plans and associated services. Liaise and coordinate with the benefit brokers and providers on annual benefit plan renewals and updates.
- Remain compliant and current on changing legislation and Human Resource best practices to comply with legal and regulatory requirements.
- Manage recruitment, performance management, appraisal, and development for all administrative staff. Collaborate with the executive leadership team to ensure processes are implemented for school faculty.
- Collaborate with the executive leadership team on staff trainings of school policies and procedures. Monitor the way policies and procedures are implemented and provide support where necessary.
- Update the Employee Handbook biannually or as otherwise needed.
- Keep the Board and Risk & Audit Committee up to date on human resource concerns and risks as appropriate and necessary.
- Provides guidance, consult, and leadership to the leadership team, managers, and staff regarding personnel issues and concerns.
- Investigates and provides conflict management and positive resolution in personnel matters as needed.
- Leads recruitment, retention, onboarding, and offboarding efforts of school personnel in tandem with the executive leadership team.

QUALIFICATIONS:
To be considered for this role, the “ideal applicant”:
- Must have at least 5 years of experience in a comparable leadership role in a school or non-profit setting.
- Must have at least 3 years of experience in a non-profit setting.
- Must have a financial background.
- Demonstrated experience in financial planning and analysis with previous experience overseeing human resources and various other functions.
- Skilled in organizational development, personnel management, budget and resource development, and strategic planning.
- Excellent people skills, with an ability to partner with a dynamic leadership team.
- Possess personal qualities of integrity, credibility, and commitment to the school’s mission.
- Flexible and adaptable and able to multi-task; can work within an ambiguous, fast-moving environment, while also driving toward clarity and solutions.
- Demonstrated resourcefulness in setting priorities and guiding investment in people and systems.
- A minimum of a bachelor’s degree in a relevant field. A relevant graduate degree is highly desired.
- Experience in a school setting, especially an international school setting, is highly desired.
- Fluency in French or Spanish is preferred, but not required.

Job Type: Full-Time (approximately 40 hours per week) Primarily in-person, with traditional work hours but often includes evening events and occasional weekend activities.
Contacts: In the normal course of duty, the employee will be required to communicate with potential customers, parents, students, faculty members, administrative staff, and vendors to obtain or furnish information; the employee will be required to communicate with Board Members regularly.
Job Conditions: The employee will be working primarily in an office. There will be occasions when the employee will be asked to perform duties that will require him/her to walk to various locations of the school. Working in a school environment, it is possible for an employee to be exposed to certain viruses. The noise level in the work environment is usually moderate to high.
