The McCain Institute, a part of Arizona State University, seeks a full-time Development Coordinator to support the Institute’s fundraising and development efforts. Working closely with and reporting to the Senior Director of Development, the Development Coordinator will work across the organization to complete a variety of operational, research, and administrative duties.

The Development team works across the institution with senior leadership and program teams to secure the diverse funding required to accomplish organizational and programmatic objectives. This position requires proactivity and close attention to detail. It is ideal for candidates interested in launching a career in fundraising, development, grant-making, philanthropy, business administration, and relationship cultivation.

Essential Duties

  • Prepare briefing documents for the McCain Institute’s Executive Director, packets with informational material, marketing collateral, and other messaging needed for the development team.
  • Compile and prepare confidential financial reports regarding potential partners, donors, and prospects.
  • Track development engagements of the McCain Institute’s executive director and development team for internal purposes – proposals, thank you emails, invitations to events, birthdays, etc.
  • Assist in maintaining accurate and thorough confidential records in the alumni/donor database utilizing the ASU Foundation database and accounting system.
  • Compile, prepare, and track/monitor budget and accounting expenses for the development team.
  • Schedule meetings and itineraries; coordinate planning and activities for special events, including making arrangements for catering, etc.
  • Coordinate and track McCain Alumni Club operations: engagements, renewals, monthly MAC orders, FMVs for donations, thank you emails, etc.
  • Coordinate the McCain Institute’s membership programs operations throughout the year.
  • Participate in planning and executing all aspects of the fundraising events, including handling logistics (e.g., invitations, RSVPs, vendor payments, etc.) set-up, staff, and/or close down as needed.
  • In partnership with the communications team, participate in planning social media fundraising campaigns.
  • Under the day-to-day guidance of the McCain Institute’s Senior Director of Development, participate in the development, implementation, and coordination of comprehensive fund-raising strategies for identifying, cultivating, soliciting, and securing gifts and grants for the advancement of the McCain Institute.
  • Assist in the development of written proposals, impact reports and storytelling, strategic plans, budgets, and other materials needed to make McCain Institute programs as accessible and attractive to potential donors as possible; Anticipate and prepare background materials as needed.
  • Execute a variety of office administrative activities for supervisor related to development and fundraising priorities.
  • Undertake and manage other duties or projects as assigned with minimal direction.
  • Other duties as assigned.

Minimum Qualifications

Associate's degree in Public Administration, Business Administration, Public Relations or closely related field and 2 years previous experience with event planning and coordinating; OR, Four years of public relations and event planning/coordinating experience; OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Evidence of effective communication skills.

  • Evidence of good judgment and ability to maintain confidentiality.
  • Experience with event management and coordination.
  • Possess the tact and diplomacy required to maintain effective working relationships.
  • Experience using Microsoft Office software (i.e., Word, Excel, Outlook).

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
  • Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching, and lifting up to 20 pounds.
  • Ability to communicate clearly to perform essential duties.
  • Regular activities require the ability to quickly set and change priorities which may include and/or are subject to the resolution of conflicts.
