Job Description: Entry-level administrative position that provides operational support and project coordination functions to the operations department and various project teams.

Position: Project Coordinator/Engineer

Classification: Non-Exempt

Reports To: Sr. Project Manager

Department: Construction Operations

Job Purpose: Work to assist operations department and project management teams with activities related to landscape and irrigation construction projects and the department. Actively participates in the coordination of information and resources, timely documentation preparation, identify issues or concerns early on, with the goal of completing each project on time and within budget.
Primary Job Function
Tree tagging. Utilize technology to promptly share information with project team in office and field. Positively represent the company on a daily basis when communicating with clients.
Essential Job Functions

· Assist with project closeouts, including but not limited to, obtaining attic stock, producing as-builts and controller charts, scanning redline as-builts from the field for electronic storage, O&M manuals, warranties, scheduling and obtaining controller and backflow certifications, completion of all required Irrigation Commissioning paperwork, and any other items required to successfully closeout projects.

· Schedule, coordinate, and facilitate tree tagging and plant nursery visits as required. Provide tree tag numbers to Purchasing team.

· Assist PM team with material buyouts, pricing confirmations, lead times, and material sample procurement.

· Coordinate and support AHL & ALI post installation/maintenance, projects, interactions, and relationships

· Work with Senior Project Management and Operations team to develop and implement Standard Operating Procedures (SOP’s) and training materials.

· Cross train with Operations Administrator on essential job functions and provide operational support when necessary.

· Assist the Operations department and/or Project Management team with special projects as required and/or necessary.

· Maintain and be primary administrator for Plangrid, including setups, configuration, maintenance, and training as required. Upload project information, plans, specifications, approved submittals, RFI’s, revised plans sets and bulletins. This includes all printing and distribution of paper plans sets to Foreman, as requested by project team.

· Creation of PM, Foreman, and Superintendent job folders.

· Coordinate and track deliveries of site furnishings to jobsites after orders are placed by the Project Team.

· Primary point of contact/gatekeeper and administrator for all Dig Alert tickets utilizing the Dig Alert portal online.

· Active and participating member of the Safety Committee and provide field support as needed.

· Assist in developing, managing, and reporting of production rates on a per project basis. Work with operations team to identify areas of concern.

· Actively engage management, staff and client representatives in an effort to build and maintain sound business relationships.

· Pro-active management style approach to anticipate and minimize or prevent potential problems or conflicts.
Job Knowledge

Project Management – Some experience with construction project management, including: knowledge of landscape construction industry and building practices, submittal preparation, managing client expectations, and tracking construction jobs from concept to completion.

Job Skills

Time Management - Must have strong, detailed, organizational skills with the ability to prioritize and manage multiple projects and deadlines.

Language (English) - Must have excellent written and verbal communication skills. Bilingual in Spanish is desired.

Computer Skills – Must be proficient with MS Office environment, specifically Excel, Word, and Outlook. Additional experience with MS Project (or equivalent), AutoCAD, On-Screen Takeoff, and/or construction accounting software is desired.

Work Environment

This job operates in a professional office and field environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. At times, this role requires the employee to travel to jobsites, nurseries, and/or client offices to perform essential tasks and functions.
Physical Demands

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms This position requires the ability to occasionally lift up to 50 pounds. Employee at times will be required to spend long periods of time in company vehicle and may involve being exposed to the outside/weather. Work can include visits to jobsites and walking long distances while outside.
Position Type/Expected Hours of Work

This is a full-time position, Core business hours are Monday through Friday, 8:00 a.m. to 5 p.m. or as the job requires.
Travel

Some travel may be expected for this position.
Preferred Education and Experience
Education or experience in construction, construction management, or landscape architecture is desired, but not required.
