Two Thousand Cheesman East Job Description for Front Office Assistant

Reports to: Property Management Representative to Two Thousand Cheesman East, President of Homeowners Association Vice President of Homeowners Association, when President is not available.

Supervises: Non-supervisory position

Workday: Part-time: 8:30-3:00 p.m. (Monday-Friday) 30-minute lunch* (1) 15-min break

Receptionist and Building Engineer coordinate lunch hours so that the office is staffed from 8:00-5:00 p.m., Monday through Friday

Purpose: The Receptionist/Office Clerk is the "face" of Two Thousand Cheesman by receiving the public, aiding residents, and their guests, performing routine clerical, secretarial and administrative work including answering telephones, data processing, and record-keeping.

Key Requirements:

· High school diploma

· Minimum of 3 years related experience or an equivalent combination of education and experience.

· Ability to lift 25 pounds.

Essential Functions:

Has working knowledge of the HOA Rules and Regulations (Manual provided) and keeps it updated. Works collaboratively with the HOA Board and the Building Engineer to develop and ensure procedures are in place and followed. Assists with administrative tasks.

Communication:

· Assists HOA Board members with building-wide and Board distributions (e.g., emails, notices, documents, HOA meeting agendas and materials, minutes,)

· Maintains confidentiality of homeowners'/residents' contact information.

· Communication of Rules and Regulations (cite the actual Rule/Regulation and page number in manual).

· Provides timely communications regarding events that affect the residents (e.g., window washing, water shut-offs, elevator issues)

· Answers office telephone.

· Receives the public, including realtors, and answers questions, in person and by telephone; responds to inquiries from homeowners, residents, and the HOA Board.

· Composes and edits correspondence, emails, reports, memoranda, and other material.

· Leaves notice on door or window of office informing when you will return (when on break, going to restroom, delivering packages, etc.)

Customer Service:

· Provide new homeowners with all relevant information, including a Homeowners Manual.

· Greets people as they come in the building or walk past the office.

· Learn all residents' names and condo location.

· Recognizes residents' family members.

· Helps residents and guests with packages, offer to assist with entrance doors.

· Offers extra service, when possible

· Handles complaints and requests with diplomacy. When you don't know the answer, research, and get back to the person within 24-48 hours.

· Makes inquiries for a resident to help meet their needs.

· Keeps track of requests and follows up in a timely manner.

· Maintains confidentiality (example: resident's health)

Security:

· Monitors front entry (buzz people in, greet people as they walk by)

· Regularly monitors other security camera views, reporting suspicious behavior to Building Engineer and/or HOA President

· Inquires, in a pleasant way, about someone who enters the building and whose identity is not known (who they are and the reason for their presence (i.e., visiting, delivery)

· Keeps office documents and computer secure.

Administrative Duties:

· Operates office machines as required.

· Receives and delivers packages to residents.

· Duplicates and distributes materials.

· Assists homeowners, residents, and their guests when entering the building.

· Maintains office supply inventory.

· Maintains an efficient filing system.

· Regularly communicates with Building Engineer and HOA President
