About the Role

The Communications Coordinator supports internal communications through internal email production and execution, oversees My Sound Store (development and approval of print collateral to support our hospital partners) and Shop Sound Gear (branded apparel and swag), and works closely with our Chief People Officer on projects related to colleague engagement and culture. This role also serves as a key enforcer of Sound’s brand guidelines across the organization, ensuring that colleagues and our vendors are using the correct logos, brand colors, templates, etc.

The Communications Coordinator is an integral part of a communications and marketing team comprised of 12 colleagues who oversee internal and external communications, brand management, business development marketing and operations, and recruitment marketing. This role reports to [insert name, title].


In this role, you will:

  • Manage internal email communications (25%)
    • Partner with content director to develop and/or proof all internal emails prior to distribution
    • Manage email calendar to ensure that we are appropriately planning and spacing messages from senior leaders
    • Create and manage email distribution lists to ensure the right colleagues receive the right messages
    • Report on the effectiveness of email communications and as needed
  • Serve as site administrator and oversee all aspects of My Sound Store, Sound’s one-stop-shop for printed collateral (25%)
    • Manage access to the site, create tutorials for users, and support them with troubleshooting as needed
    • Report on orders to understand which programs are using print collateral most frequently, which collateral is used most/least, and ensure billing is being allocated appropriately
    • Audit reporting and colleague feedback to make recommendations for improving print collateral
    • Review and approve large orders
    • Manage requests for custom collateral or co-branding with partner facilities
  • Support Chief People Officer on projects such as reimaging Sound’s recognition program, innovating and improving virtual town halls with colleagues, and other projects as identified (25%)
  • Provide ad hoc internal communications support for regional and/or service line newsletters, internal webinars, presentations, videos, podcasts, headshot requests, etc. (15%)
  • Serve as site administrator and oversee all aspects of Shop Sound Gear, Sound’s one-stop-shop for branded products, apparel, and lab coats/scrubs (10%)
    • Manage vendor relationship
    • Coordinate bulk orders as needed
    • Work with hospital partners to approve any co-branding requests
    • Manage colleague anniversary program

Education/Experience

  • Experience with software applications, including Microsoft Office (Word, PowerPoint, Excel, Outlook, Microsoft Teams or Slack, Adobe Creative Suite (InDesign, Illustrator, Photoshop) or Canva strongly preferred
  • Familiarity with corporate email, marketing automation, and social media platforms
  • Experience video editing is a plus, including video editing platforms such as Adobe Premier
  • Bachelor’s degree in communications or marketing, or related experience.
