SUMMARY
Under the direct supervision of the Clinic Manager, the person in the position of the Clinical Supervisor trains, schedules, and supervises Medical Assistants and Licensed Vocational Nurses, performs various clerical functions, as well as patient status tasks. All of the duties and responsibilities of the Job Description for Medical Assistant also apply to this position.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Includes but not limited to the following:
- Interviews and makes hiring recommendations for new Medical Assistants (MAs)
- Arranges and maintains a training check list for new hires
- Oversees and/or conducts the training for MAs
- Schedules all MAs to optimize clinic coverage
- Maintains documentation regarding incidents involving MAs who may be at risk for counseling and discipline
- Counsels and assigns disciplinary action for MAs, as necessary, with the supervision of the Clinic Manager
- As the OSHA Coordinator, the Clinical Supervisor is responsible for maintaining updated documentation in order to meet OSHA requirements for all clinic employees
- Maintains updated documentation on MAs CPR & AED certifications
- Accepts phone calls of complaints relating to clinical situations and/or clinical staff. The Clinical Supervisor listens to the complaint, researches that which is primarily necessary to take care of the patient’s immediate medical need, interviews staff involved, and counsels as necessary.
- Orders clinical supplies
- Oversees the locking of the sample medicine cabinets and the immunization room
- Tracks and matches packing slips with invoices for payment of medical supplies
- Verifies and approves time clock for MAs
- Oversees orientation and ensure employees receive adequate training and ongoing education
- Provides ongoing employee feedback of job performance
- Provides positive feedback as well as constructive criticism
- Establishes and maintains a high level of employee morale
- Promotes teamwork and empowers teams and individuals to meet their potential
- Supports quality and efficiency improvement efforts
- Develops personal education to be proactive in meeting the future needs of the practice
- Demonstrates a positive attitude toward all patients, staff and providers
- Maintains a high degree of knowledge of the policies and procedures of the practice
- Must be able to learn, apply, and teach a variety of rules, regulations, policies, and procedures applicable to the ever-changing healthcare environment
- Monitors and reports on the administrative and clinical components related to the demonstration of meaningful use
- Provides IT assistance and EMR support
- Participates in the build, design and ongoing support of the EMR systems and implementations
- Ensures office equipment is in working order
- Organizes meetings and education activities for doctors and staff, as necessary
- Ensures general cleanliness and neatness of the practice
- Consults with Upper-Level Management regarding any problems or concerns, and assist in implementing organizational changes
- Maintains compliance with contracted insurance carriers through auditing of clinical records and on-site visits
- Applies the principles of comprehensive, community-based, patient centered, developmentally appropriate, and culturally and linguistically appropriate care coordination
- Trains staff and supports effective communication skills with vulnerable patient populations
- Vulnerable populations are patients who are made vulnerable due to their:
- Financial circumstances
- Place of residence
- Health
- Age
- Personal characteristics
- Functional or developmental status
- Ability to communicate effectively
- Presence of chronic illness or disability
- Trains staff to maintain concise documentation in patients’ electronic medical records
- Ensures job roles and responsibilities emphasize team-based approach to care and support each member of the team being trained to meet the highest level of function
- Knowledge of the case management process
- Fosters and adheres to team-based approach in patient care
- Trains staff to follow evidence-based approaches to self-management support such as patient coaching and motivational interviewing
- Engages in population management activities to proactively address the needs of patients and family members
- Supports the physicians and staff in assessing and managing the health needs of a patient population such as defined groups of patients:
- Patients with specific clinical conditions such as diabetes, hypertension, chronic obstructive pulmonary disease, obesity, etc.
- Patients overdue for preventive screenings such as cervical cancer screening, breast cancer screening, and colorectal cancer screening.
- Proficient in all NCQA standards and guidelines for patient-centered medical home level three recognition
- Conducts monthly Patient Centered Medical Home quality control audits
- Conducts mandatory staff meetings and participate in huddles
- Maintains strict confidentiality, maintaining adherence to HIPAA policies and procedures
- Other duties as assigned
EDUCATION and/or EXPERIENCE
Licensed Vocational Nurse or Registered Nurse required. S/he should have at least six months supervisory experience, preferably twelve months, in a related setting (e.g., health care, customer service, etc.) and/or training, or equivalent combination of education and experience.
