Responsibilities:

Responsible for clinic operations, ensuring that efficient systems are in place and that staff is properly trained. Provide direction and leadership for patient care in the Women’s Obstetric & GYN departments, and all other women’s health programs such as Family Pact, Every Woman Counts and CPSP. Collaborate with other leaders to facilitate favorable department financial performance and ensure that the highest quality of care and productivity is performed. Direct and motivate staff to deliver high-quality care and exceptional patient experiences.

Patient Service Representatives, Medical Assistants, Surgery Scheduler, Care Coordinator, Patient Flow Supervisor and Prenatal Manager


Essential Job Functions
  • Primary duties include, but are not limited to: recruiting, hiring, training, scheduling, promoting and disciplining, and evaluating and directing the work of designated staff
  • Ensure staffing is appropriate (including clinicians and support staff) to maintain daily operations and minimize overtime
  • Coordinate staff meetings for both clinical and non-clinical staff to support learning opportunities and education
  • Create, manage and monitor clinician schedules, and ensure schedules are full enough to allow clinicians to reach productivity goals
  • Collaborate with other managers to coordinate daily patient scheduling and referrals for patients needing assistance in completing various insurance program eligibility forms
  • Maintain and manage the organizational systems for the practice to ensure work and follow-up action items are completed
  • Monitor patient flow activities throughout the day to ensure that patients are seen in a timely manner
  • Support continuous improvement of patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences
  • Maintain knowledge of all aspects of the clinic operations and the duties of patient registration and reception, appointments, medical records, medical assisting, care coordination, and HIV and Family Planning Counseling
  • Provide coverage in the absence of the Patient Flow Supervisor
  • Monitor "Failed Appointments" and follow up according to protocol
  • Record and report all unusual occurrences or incidents via Variance Report form
  • Prepare monthly productivity reports and utilize information to make necessary changes to improve the efficiencies of the clinic operations
  • In conjunction with other department management team members, prepare agendas for department and site meetings and arrange logistics of medical staff meetings as directed, including coordination of drug representative presentations
  • Utilize and ensure correct use by staff of the Electronic Medical Records system, and match new patients to appropriate PCP or service to promote continuity of care
  • Provide guidance to support staff regarding policies, procedures and various funding sources
  • Assist in developing written policies and procedures for the operational aspect of clinical services
  • Work with the Women’s Clinic Site Director to identify and resolve issues that create barriers to effective patient care delivery
  • Maintain and monitor inventory systems for clinical supplies and equipment
  • Share accountability for overall patient health outcomes by working in coordination with key stakeholders
  • Establish a work environment that facilitates staff accountability and responsibility; work to optimize staff potential and retain qualified, competent and satisfied employees
  • Maintain a system of management reporting that provides timely and relevant information on all aspects of clinic operational measures
  • Prepare and conduct introductory and annual performance and competency reviews for all staff; provide training as needed
  • Work closely with the direct supervisor and other key individuals/departments on the operational budgets to support strategic plans and goals of the department
  • Develop and/or utilize effective communication systems and methods that promote sharing, partnerships, integration and collaboration within the department
  • Establish and maintain cooperative and collaborative relationships with external partners
  • Demonstrate responsibility for maintaining and updating knowledge/skills in the fields of OB/GYN and women’s health-related programs, including Family Pact, EWC and Title X
  • Prepare and participate in all program-related audits
  • Positively impact patient experience by demonstrating values of CARE
  • Enhance professional growth and development through participation in educational programs, current literature review, in-service meetings and workshops
  • Support the vision, mission and goals, and demonstrate a commitment to the values, of the organization
  • Perform other duties as directed
Qualifications:

Minimum

  • Bachelor’s degree in health care administration, business administration or equivalent combination of education and experience
  • Minimum eight years’ experience in a clinical setting
  • Minimum two years’ experience working in OB and/or women’s health
  • Minimum five years’ supervisory experience in a healthcare environment
  • CPR Certification (BLS Child, Infant, Adult)
  • Valid California driver’s license, current vehicle insurance, and reliable transportation

Preferred

  • Medical Assistant or LVN certification/experience
  • Bilingual English/Spanish

Required Skills/Knowledge/Abilities

  • Knowledge of community health centers, and public assistance programs, state and federal regulations and managed care systems
  • Strong experience with computers, Microsoft Office products, business e-mail communication systems and internet search capabilities

Preferred Skills/Knowledge/Abilities

  • Experience/familiarity with Practice Management and Electronic Medical Records systems, NextGen preferred
