  • We are looking for a SUPER DUPER Office Manager....not the typical Office Manager, mind you....an OUTSTANDING OM (not rated by your friends),
  • FRIENDLY (we will determine that!)
  • SUPER SMART (yep, gotta have the lights on upstairs),
  • TEAM-ORIENTED (not like a Super Bowl team....like the company team!)...
  • BI-LINGUAL (English and Spanish) ¡MUY, MUY IMPORTANTE!...and more!
  • We are a fast growing health & safety company that needs someone who can take us to the next level! Previous experience as an Office Manager or Office Administrator would be an advantage. A successful Office Manager should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Office Manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
  • Skills
  • 1+ years working as an office manager, administrator, assistant, etc. (You know you could do a better job than your current/last boss…. now you can prove that!)
  • Bi-lingual (ENGLISH and SPANISH) required! ¡MUY, MUY IMPORTANTE!
  • Friendly! (If you are not bubbly AND outgoing…this is not the right fit!)
  • Knowledge of office administrator responsibilities, systems and procedures (We will baptize you with information!)
  • Computer literacy, including fluency in Excel and Word. Proficiency in MS Office (MS Excel and MS Outlook, in particular) (NO fudging on this; this is super important!)
  • Resourcefulness in solving problems and researching solutions. (You think YOU have problems; wait until you see what we can throw at you!)
  • Organization in work and ability to work independently with great time management skills. (Take charge and make things happen; OWN IT!)
  • Hands on experience with office machines (e.g. scanners and printers). (You gotta know how to do this!)
  • Strong attention to detail. (Super, duper attention to detail!)
  • Ability to multi-task. (If you can only do one thing at a time. DO NOT APPLY!)
  • Have a sense of humor! (You don’t need to be Eddie Murphy, but you will live longer and be happier.)
  • Some experience in Accounts Receivables (preferred)…. (YES, please!)
  • Knowledge of payroll processes (preferred)… (YES, please!)
  • Responsibilities
  • Prepare and submit weekly payroll
  • Process end-of-week paperwork, including management reports
  • Outreach to new customers to get service window and access contact preferences
  • QuickBooks customer account input and maintenance
  • Input and maintain each customer’s services, products, and pricing in QuickBooks and RouteStar (routing software)
  • Adjust service routes and pending invoices real-time in routing software
  • Manage the weekly AR with the assigned Franchisor collector
  • Attend weekly team meetings
  • Organizing, stocking and cleaning office
  • Maintaining office organization
  • Scheduling appointments for new customers
  • Assisting technicians with daily route questions
  • Answering phone calls and emails
  • Other duties as assigned

Job Type: Full-time

Pay: $55,000.00 per year

COVID-19 considerations:
ALL staff are required to do DAILY temperature check in (<99 degrees) and wear face masks. We HIGHLY recommend that EVERYONE gets vaccinated & boosted. We do not have customers come to the office.

  • Bensenville, IL 60106: Reliably commute or planning to relocate before starting work (Preferred)

Education:

  • Associate (Preferred)

Experience:

  • Administrative experience: 1 year (Preferred)
  • Microsoft Office: 2 years (Preferred)
