Job Description
Bookkeeper
FLSA Status: Non-Exempt Effective: 5.1.2022
Reports to: Chief Financial Officer Approved: SGD
Position Objective
The Bookkeeper coordinates the District’s payroll and accounting functions.
Essential Functions:
- Maintains bank accounts
- Sends reports and accounting documents to external auditors
- Prepares documents for annual audits for external auditors and workers‘ compensation
- Stop pay/void checks
- Delivers NSF to school for collection
- Processes TALX unemployment forms
- Enters deposit receipts into system
- Manages FSA program
- Manages open enrollment
- Submits SSA-1945 forms
- Closes out the accounting month: reconciles bank/investment accounts in Infinite Visions
- Backup for semi-monthly payroll by importing time clock hours, preparing, balancing and closing the payroll
- Closes out the payroll month with Payroll Clerk: runs payroll reports, sends withholding checks for garnishments, IMRF, child support, union dues, and health, dental, vision, life, voluntary life insurance
- Coordinates and processes employee health, dental, vision, life, voluntary life insurance enrollment/cancellations
- Enters journal entries and maintains general ledger
- Processes employee IMRF enrollment & terminations, maintains records
- Accounts Receivable invoicing
- Processes TRS enrollment forms
- Provides system data reports for other office staff
- Provides verification of employment information
- Provides clerical support for District Office Staff as needed
Additional Functions:
- Backup for payroll transfers and payments
- Other duties as assigned
Qualifications:

- High School Diploma or GED. Associate’s Degree or higher preferred
- 1+ year experience in a payroll setting preferred
Competencies:
- Proficient in typing, filing, copying and other clerical functions
- Proficient in standard office software applications
- Excellent interpersonal communication skills. Able to communicate effectively with staff at all levels, board members, and the general public
- Adaptable to different work scenarios and schedules. Able to prioritize efforts in order to achieve a student-focused solution
- Ability to read, write and speak the English language
Working conditions
- Mental Demands: calculating, comparing, evaluation, interpreting, organizing, consulting, analyzing, planning, documenting, specifying, coordinating, implementing, and presenting
- Physical Demands: bending, stooping, kneeling, twisting, reaching, sitting for prolonged periods of time, standing, walking, lifting, finger dexterity, grasping, repetitive motions, talking, hearing and visual acuity
- Environmental Conditions: The work is performed primarily indoors; however, outside work is required on occasion. Travel between buildings may be a requirement
