BASIC PURPOSE: Assists the Station Manager by providing training, coaching and other assistance with dispatchers and all other positions. Base Dispatcher Supervisor ensures the smooth, on time, high quality operation of daily station activities by providing accurate information and instructions, and ensuring continuous communication between management, staff, departmental managers, customers and drivers.ESSENTIAL DUTIES:
- Assign trips to drivers in a fair and consistent manner, according to a collective bargaining agreement, if any.
- Determine and assign check-in times of drivers, dispatchers and baggage handlers. Update Driver Portal.
- Organize and distribute all work and ancillary items to staff, e.g. work tickets, vouchers, signage, maps,
- Work with maintenance with downed vehicles or if you need to down a vehicle due to some type of mechanical failure. Adjust equipment/drivers whenever there is a mechanical problem on the road and works closely with maintenance.
- Determine if staff members arrive promptly and in proper uniform in accordance with company Employee Handbook. Promptly refer uniform infractions to management.
- Brief drivers and field dispatchers (and baggage handlers when needed) on their schedules for the day and any special instructions.
- Reviews special instructions with drivers, field dispatchers and baggage handlers.
- Execute transportation services as ordered using Coach Manager software program. Oversees and manages transportation services through various tracking methods to ensure timely service while avoiding any disruptions or delays in service.
- Call vendors with passenger counts for lunch, admissions, etc. as well as any delays or cancellations.
- Adjust driver’s schedules to accommodate last minute farm-ins / changes / adjustments.
- Notify account managers (Charter department “Groups”) and clients of any changes in schedules, plans or vehicle delay or breakdowns.
- Contact Call Center Department of problems with agents or clients (e.g. no shows, pop ups, vouchers, delays, etc.) Reconfirm lunch orders the day before.
- Update Coach Manager promptly and update paperwork with accurate information in Notes and Drivers Actual tabs.
- Fill out End of Day Report and distribute via email appropriately.
- Process all work tickets, vouchers, EO’s, etc. for the billing department. Follow SOP for individual station.
- Manage emails in a timely manner. Manage Base Station emails and file appropriately for historical documentation.
- Be up to date with community events and road closures, parades, construction, etc. Place in Coach Manager calendar.
- Record payroll / timesheets / baggage report.
- Perform other related duties as assigned by the Station Manager.
- Comes to work in uniform per Employee Handbook.
KNOWLEDGE, EXPERIENCE, OTHER REQUIREMENTS:
EDUCATION: High School Diploma or equivalent required.
EXPERIENCE: One (1) year customer service, dispatch, administration, or hospitality experience required; OR, Any equivalent combination of experience and/or education which would provide the necessary knowledge, skills, and abilities to meet the minimum qualifications to perform the essential functions of this position. Experience in a fast-paced work environment preferred.
KNOWLEDGE, REQUIREMENTS & SKILLS:
Able to treat drivers and co-workers fairly and consistently.
Possess knowledge of local area roads and landmarks.
Possess excellent verbal and written communication skills, and the ability to follow oral and written instructions.
Customer service duties require relating to employees and customers in a friendly and professional manner.
Requires knowledge of principles and processes for safety, ethics, and compliance with company rules & regulations.
Ability to understand CDL Rules and Regulations as well as State and City & County Regulations
Ability to recognize and define problem areas, collect information, establish facts, and draw valid conclusions
Requires basic computer skills and basic knowledge of programs such as Microsoft Word, Excel, and Outlook.
Ability to use good judgment and decision making while handling multiple situations.
Physical demands of working on base require frequent sitting.
