JOB DESCRIPTION

Position: Assistant Property Manager - Commercial Retail Shopping Centers ONLY!

Assist in overall management of retail portfolio – responsibilities to include the following (however not limited to):

LEASE ADMINISTRATION/COLLECTIONS:

1. Rent collections, tenant disputes/NNN audits, tenant ledger analysis, application of late fees as directed

2. Review all rent checks for entity, collection/legal status, etc
3. Prepare Notices to Pay or Quit as directed
4. Assist in preparation of Lease Abstracts and updates for New Leases and Lease Amendments
5. Assist in rent roll management/updates
6. Preparation of rent increase calculations and letters
7. Assist in the preparation of monthly rent charges and statements
8. Tenant/Vendor Insurance management- Assist Admin Assistant as needed
9. Assist in preparation of tenant set up/charge set up/tenant move out in Yardi, for accounting, etc.
10. Prepare direct bill tax and insurance charge letters and billing adjustments
11. Tenant correspondence
12. Assist in document preparation/tracking, ie. estoppel certificates, SNDA’s, etc.
13. Assist in preparation of Tenant Commencement Date Agreements
14. Assist in tenant lease disputes
15. Tenant lease compliance

PAYABLES/BUDGETS/CAM RECONCILIATIONS

1. Assist in reviewing and coding all invoices.
2. Assist in preparing and analyzing NNN expense variances
3. Assist in preparing annual budgets and Cam Recs for each property
4. Preparation of quarterly expense variance reports for each property
5. Assist in preparation of Power Point presentation template with Director’s input for weekly staff meetings.
6. Assist with Tenant CAM Audits, correspondence, preparation of documents for in house audits or emailed docs, lease language review, analysis, preparation of argument or agreement,
Correction to Cam Rec Statement and Billing adjustment preparation as necessary

TENANT COORDINATION

1. Assist in overseeing that each Tenant has submitted its plans for tenant improvements and storefront signage for approval.

2. Assist in coordinating tenant improvements and landlord construction in preparation of a smooth transition at turnover and in accordance with the Lease.

3. Assist in overseeing tenant premises turnovers/Move In /Move Out
4. Assist in reviewing Tenant’s request and documentation for reimbursement of construction allowance

PHYSICAL MANAGEMENT
1. Tenant/Vendor maintenance calls and correspondence. Maintain tracking sheets for maintenance calls
2. Turnover of Utilities, coordinate with utility companies, update trackers, etc
3. Assist with vendor management and assist with contract negotiations
4. Track and Review Security Guard Reports – coordination between security guards for access as required by vendors and tenants
5. Obtain vendor proposals/ prepare analysis and recommendation to Director
6. Assist with property inspections/Inspection reports
7. Recommendations for repair/additional maintenance/change in service. Assist in identifying, negotiating and overseeing all maintenance/repair work needed to be done on the properties.

Job Type: Full-time

Pay: $75,000.00 - $85,000.35 per year
