In addition to adhering to the general guidelines as specified by the Faculty/Staff Handbook, Department Chair, Dean of Instruction, Dean of Students, the President, and Alabama Community College System Board of Trustees, responsibilities will include the following:
- Assist with entering and adjusting class schedules,
- Assist with the college registration process,
- Properly classifies, sorts, files, retrieves, and distributes correspondence, articles, records, and other documents as requested,
- Answers telephone and greets visitors in a pleasant and efficient manner,
- Records messages in a clear and legible manner,
- Orders and maintains office supplies, equipment and/or facility maintenance needs adequately and on a timely basis,
- Prepares necessary documentation to obtain supplies, equipment, or maintenance needs adequately an on a timely basis,
- Maintains office equipment, performs minor repairs, or coordinates service of equipment,
- Effectively utilizes computer software as a tool to perform clerical assignments,
- Records and distributes departmental meeting minutes and other relevant information to appropriate participants in a through and timely manner,
- Assists with campus tours and outside recruiting in a pleasant and efficient manner,
- Assists with the administration of various tests, including coordinating and scheduling of visits to area high schools to administer test to accelerated, dual credit, and transient students,
- Prepares departmental documents and pamphlets such as program flyers, information sheets, etc..,
- Readily serves on various committees and task forces as assigned, carrying out the responsibilities associate with such assignments,
- Demonstrates eagerness to learn and assumes responsibility, seeks out and accepts increased responsibility, displays a positive approach to work,
- Shows persistence and seeks alternatives when obstacles arise; seeks alternative solutions; does things before being asked,
- Works within the system in a resourceful manner to accomplish reasonable work goals; shows flexibility in response to process change and adapts to and accommodates new methods and procedures. Maintain confidentiality,
- Accepts direction and feedback from supervisors and follows through appropriately,
- Works when scheduled; begins and ends work as expected; calls in according to policy when arriving late for work or when absent. Uses work time efficiently,
- Maintain a good rapport with the organization, with private sector representatives, and the general public by being courteous, cooperative, and conscientious,
- Collects data and formulates departmental reports relative to student learning for academic, developmental studies and academic support programs,
- Communicates accurate information, directives, assignments, instruction, and messages to others in a courteous and professional manner,
- Works well with others and shows respect to all college constituents,
Performs other duties as may be assigned by the Arts & Sciences Department Chairperson, Associate Dean of Learning, Vice President for Instruction, or the President.
REQUIRED QUALIFICATIONS
- Associate Degree in Office Administration or related field
- One year of experience in related field
- A thorough knowledge of records management, financial and office procedures
- Good oral and written communication skills
- Proficient in use of computers, specifically Microsoft Office
PREFERRED QUALIFICATIONS
- An understanding of the and a commitment to the philosophy and mission of the two-year college system.
- Ability to handle multiple task and various situations in a professional manner
- Experience in working in Banner
