Our company is a digital marketing service for a specific niche in the home exterior cleaning industry. We provide marketing services to this niche. Some of the services include website design, search engine optimization, Google ads, Facebook ads, marketing automations and other services to support the Fulfillment and success of our core offerings.
The primary role of this position in particular is to oversee all of the day to day client and team member communication, monitor urgent and high-priority tasks, oversee and report on daily time tracking of tasks completed for clients and put out any internal or external issues within the agency. The ultimate goal is to ensure harmony between our clients and our services. The direct report will be the owner of the agency.
The secondary role which is not less important is the organization of and scheduling the workload to available team members, constant process documentation of that work, improvement of the processes to complete them, and problem solving. There are some processes in place and some loose directives that need to be documented and systemized so they can be improved and standardized.
Lastly, this role will be the assisting of developing new services or extensions of our current services in order to provide a better customer experience. Most of this will require you to research and work diligently and independently.
Daily Functions & Responsibilities
Fulfillment - Manage Day to Day Operations & Quality Control
Project Management - Oversee Onboarding & Launch Process
Client Success / Retention - Client Strategy & Results
Run daily team meetings - Make sure goals are on track, processes are being followed, to do’s are done and any daily issues are noted to be discussed on the next daily meeting. Be accountable for everything that goes into the daily operations of the agency.
Overcome Challenges - Handle internal team challenges, Handle escalated Client challenges. Handles real problems, being comfortable with conflict, calling out the problems, and solving the problems in a practical and healthy manner.
Data Driven - Use data to make decisions on allocating trem resources, client issues, refunds, & billing.
Manage Day to Day Operations.
Overseeing All Communications & Holding Team Accountable - (ie - making sure people who are responsible for given tasks maintain their focus and that the tasks have been completed.
Audit Team/Client Communication and provide feedback to team
Help Solve Client and People Issues in your Department
Daily Check Ins with Team Members
Managing schedules and prioritizing tasks for team members so that we are alway moving forward towards our goals and improving as an agency.
Oversee All Client Communication
Playbooks and Tools - Keep these accurate and updated. All software up-to-date.
OWN the Operating System - Owning means cascading which means shared by all (SBA) and followed by all (FBA). Integrates all major operating functions of the business. Ensures everyone is rowing together in the same direction. Models the way, always working toward the greater good of the business. Ensures that everyone is truly following, and adhering to, the company’s core processes and operating system with consistency. Demonstrates effective project management skills.
Collaborate with Agency Visionary (IE: Owner) - Effectively collaborates with the Visionary and stays on the same page. Maintains a high level of mutual respect with the Visionary. Realizes the unique contributions and ideas that the Visionary has, and possesses an ability to filter and translate those ideas into functional plans for the company.

Send detailed EOD report to owner by 5:30 PM each day

Be active and present on social media with clients and groups
Create & lead weekly department training as needed
Effectively lead the team and keep them on track, consult with Visionary as needed
Monthly
Oversee New Hire Training for your Department
Attend A-Players Mastermind
Monthly 1 on 1 Check Ins with Visionary
Quarterly
Oversee ALL quarterly performance evaluations.
Prep for Quarterly Meeting with Visionary
Annually
Receive annual performance evaluations.
As Needed

Education & Areas Of Expertise / Experience
Formal Education: Prefered but not required - Bachelor’s Degree in Marketing, Advertising, Communications, Business or related.
Complementary Studies: Prefered but not required - Sales or Marketing related post graduate studies.
Languages: Fluent English.
Work Experience
Work in an agency environment or an advertising environment would be preferred - but all relevant experience will be considered when presented. Looking for at least 3 to 5 years.
Project management experience would be preferred - one of the core duties of this position will be managing people, tasks and the goals of the company. Looking for at least 5 years of project management experience
People management, department management or company management experience would be preferred.
Job Type: Full-time
Pay: $48,000.00 - $65,000.00 per year
