PURPOSE

Under the supervision of the Assistant Director, Enrollment, Applications and Systems, this position supports the Enrollment department for the chiropractic program at Life Chiropractic College West. This position supports all aspects of the work performed by the Office of Enrollment while having specific responsibilities to oversee the campus tour program and supporting the transcript evaluation process.

RESPONSIBILITIES

Team/Office Support

  • Provide clerical and project-based support to the Admissions Team.
  • Assist with the scheduling meetings and appointments.
  • Follow up, maintain, manage, and update admissions database on a daily basis.
  • Prepare enrollment and related reports as required.
  • Provide front-desk coverage and perform reception duties for the Admissions department.
  • Assist Admissions team with calls to prospective students and follow-up calls to applicants.
  • Assist and act as back-up support for all Admissions events as necessary.
  • Assumes additional responsibilities, performs special projects, and assists with other duties as needed or requested.
  • Anticipates, listens to, understands, and responds to customer needs. Delivers work products and services to customers in a way that reflects positively upon the department and the college.
  • May supervise student employees

Transcript Evaluation

  • Serve as the Admissions evaluator for all applicants, selecting accurately from transcripts the courses acceptable to meet requirements and determining eligibility using a number of factors and a data collection tool.
  • Continuously and accurately update all file and transcript information for incoming applicants.
  • Perform other duties and special projects as assigned by the Assistant Director, Enrollment, Applications and Systems.
  • Assume additional responsibilities, perform special projects, and assist with other duties as needed or as requested.
  • Coordinate matriculant files for Registrar office
  • Anticipate, listen to, understand, and respond to customer needs. Deliver work products and services to customers in a way that reflects positively upon the department and the college.

Campus Tours

  • Responding to visit inquiries, serving as the consistent point of contact throughout the pre-visit process, and securing time and travel commitment from visitors.
  • Communicating with internal constituents (i.e.President, Provost, staff, Student Ambassadors, cafe) to arrange their participation in visit activities and resolving scheduling conflicts as they arise during the visit process.
  • Ascertaining each visitor’s individual needs and interests and designing an appropriate and appealing visit agenda.
  • Maintaining records and contact lists for prospective students, their families, and Life West Ambassadors, faculty, and staff involved in the visit process.
  • Follow established guidelines for pre-planning and implementation of open house events while also suggesting enhancements.
  • Coordinate and implement virtual tours using Google Meets including setting up virtual tour space, updating slides, finalizing panelists, and acting as main organizer for synchronous virtual tours.
  • Work with marketing to ensure the database, website, and communication is accurate for campus tour dates.
  • Organize campus tour training process and documentation with campus constituents and Student Ambassadors
  • Create and distribute campus tour surveys; assist with collection, organization and analysis of survey data/outcomes; report as necessary.
  • Processing reimbursements for travel as necessary.

A Senior Admissions Specialist designation may be given after 3+ years of demonstrated expertise in supporting the Enrollment Office and students through the application and onboarding processes while effectively working with team members. A Senior Admissions Coordinator will show the capabilities to coach and mentor other admissions specialists and provide suggestions to department leadership about process and protocol changes that will improve outputs.

SKILLS & EXPERIENCE: EDUCATION & TRAINING REQUIREMENTS

  • College degree and/or equivalent experience in a related field
  • 2-3 years of experience in an Administrative Support role or an acceptable combination of education and experience may be considered.
  • Familiarity with Microsoft Office suite.
  • Ability to work independently in a complex environment with a high level of accuracy, reliability, and collaboration.
  • Excellent oral and written communication skills.
  • Excellent attention to detail and organization skills.
  • Ability to be flexible and learn the variety of tasks typical of a small but busy, service-oriented department.
  • Ability to work with and communicate with others at all levels: co-workers, students, faculty, and administrators.
  • Occasional weekend and evening work is required during college events.
  • Must treat all others with respect; understands the impact of culture/background on the behavior of others; respects differences among the Life West community; and demonstrates inclusive behavior.
  • Exhibit student centeredness in performance of all job duties.
  • Experience using eMAS preferred.

PHYSICAL DEMANDS

  • Nature of work requires an ability to operate standard business office equipment.
  • Requires ability to communicate and exchange information; collect, compile, and prepare work documents; and set up and maintain work files.
  • Much time is spent concentrating on CRT, identifying and updating information, and performing some data entry.
