Job description

To compile, organize, analyze, maintain, update and report all training and project information, data and progress. Assist with administrative and clerical duties in support of the training/project team.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Facilitate and centralize reporting and data management and the systematization of project information
  • Responsible for updates to and administrative actions associated with the learning management system (LMS)
  • Assist in the tracking and trending of information and the generation of reports on an ad hoc basis
  • Responsible for tracking and coordinating regulated and required training, including subjects related to, but not limited to, Environmental,
Health and Safety, as well as regulatory agency-required training, including the EPA.
  • Compile data and develop forecasts to keep project progress on target
  • Complete periodic utilization studies on database, portal and other information systems to enhance effectiveness and productivity
  • Assist with formatting documents, procedures, policies, and training-related material
  • Responsible for updates to and administrative actions associated with the SharePoint portal
  • Work cooperatively with regional training management to ensure timelines and workloads are met
  • Recommend and assist in the coordination of revisions and updates of procedures and training programs
  • Assist with terminal training records, including auditing as well as training others on required documentation process and methods
  • Attend required meetings, including morning Safety, Quality and Environmental pre-shift/work meetings
  • Prepare all necessary reports as required
  • Attend team meetings as required
  • Other duties as required

Position Requirements


EXPERIENCE / SPECIFIC KNOWLEDGE:
  • Minimum 3 to 5 years hands-on experience working in an administrative capacity in a fast-paced office / professional environment
  • Knowledge of PC operations and other related database applications
  • Must be proficient in and have at least 3 to 5 years direct and active experience with MS Office applications (Outlook, Word, Excel and Power
Point)

CERTIFICATIONS, LICENSES, REGISTRATIONS:
  • Must be able to obtain a TWIC (Transportation Workers Identity Credential)

  • Demonstrate efficiency in writing and understanding verbal and written communications, including, but not limited to, e-mail
  • Must be able to interact with a wide variety of people with tact, courtesy and professionalism including, but not limited to, other employees,
all levels of management, vendors and customers.
  • Demonstrate ability to speak clearly, both in person and via telephone, using a high level of verbal skills and to listen carefully
  • Advanced proficiency level with Microsoft Office applications and database software, including, but not limited to, Word, Excel, Outlook and
PowerPoint
  • Must demonstrate excellent writing, oral, analytical and communication skills
  • Must be able to successfully perform multiple tasks with strict and simultaneous deadlines
  • Must be able to work with a team, take direction from supervisors, adhere to required work schedules, focus attention on details and follow
work rules
  • Must demonstrate ability to plan, organize and utilize project management skills
  • Must be able to work independently and function with limited supervision at times
  • Must be able to work autonomously as situation dictates

PHYSICAL DEMANDS:
  • Must be able to lift and carry up to 25 pounds on an occasional basis
  • Must be able to sit for prolonged periods of time
  • Successful completion of background check, MVR and post offer and random drug screens

WORKING CONDITIONS:
  • Travel approximately 10% required.
  • Must maintain regular, dependable attendance and a high level of job performance
  • Must maintain a high regard for personal safety, the safety of company assets and employees and the general public
  • May be required to work non-traditional hours as needed as well as overtime hours.

PREFERRED EDUCATION, EXPERIENCE, COMPETENCIES, SKILLS AND ABILITIES:
  • Above the minimum requirements; not required but advantageous in this position:
Associate level or technical degree in Business, Database Administration or a related field
Prior technical writing experience
Experience conducting statistical analyses of data
