Clubhouse Maintenance Administrative Assistant

Reports to: Director of Maintenance

FLSA Status: Hourly/Non-Exempt

Summary: Provides overall administrative support to the Maintenance and Housekeeping team as well as general office services.

Job Tasks/Duties

  • Receives, routes and logs all calls and communication coming to the Maintenance Department
  • Clubhouse Maintenance Assistance
  • Assists with logging all communication relating to Clubhouse maintenance and internal work orders
  • Logs and tracks all work orders in the MaintainX system relating to Clubhouse
  • Assists with scheduling maintenance technicians to complete clubhouse work orders
  • Maintains communication with each department of the Club
  • Shipments and Packages
  • Receives all packages shipped to the club’s Maintenance Department
  • Informs other departments upon package arrival
  • Delivers packages to other departments as needed
  • Responsible for outgoing packages and shipping requests
  • Billing and Invoicing
  • In charge of billing all Home Service Work Orders and submitting to the Accounting department in a timely manner
  • In charge of billing all Pool Maintenance Services and submitting to the Accounting department in a timely manner
  • Responsible for all invoice coding for the Maintenance Department
  • Responsible for monthly credit card reports and submitting to accounting department
  • Maintain records of all purchases for the Maintenance department
  • Record Keeping, Safety and SDS Bookkeeping
  • Responsible for maintaining the department’s SDS book and updating as needed
  • Maintains records of all important documents within the department (safety meetings, incident report forms, vehicle registration and insurance, etc)
  • Attends monthly Safety Committee meetings
  • Maintains updated vendor contact information
  • Miscellaneous Administrative Tasks
  • Assists in ordering office supplies for Housekeeping and Maintenance
  • Maximizes Director of Maintenance's efficiency by routing correspondence; drafting letters and documents; collecting and analyzing information
  • Coordinates with multiple internal and external parties to plan meetings and maintain the partnerships of Lake Nona Golf & Country Club
  • Assist with acquiring competitive pricing for all supplies used for clubhouse repairs
  • Effectively communicate with other departments and team members
  • Assist housekeeping with administrative tasks as needed
  • Provide general support for visitors
  • Ensures internal staff communication is clear within the department (ex. Translations within department when needed)
  • Perform all other duties as assigned
Requirements:


Essential Requirements

  • Management: Ability to organize and manage multiple priorities
  • Planning: Ability to think ahead and plan over a one to two-year span
  • Knowledge in: Office 365 (specifically Excel)
  • Experience on high-performance teams and a strong team player
  • Strong written and verbal communication skills
  • Associates Degree (preferred)
  • 1 year of Administrative Assistant experience (preferred)

Physical Demands and Work Environment

  • Must be able to lift up to 50 pounds.
  • Must be able to follow written and verbal instructions.
  • Must be able to read, write and communicate effectively in English.
  • While performing duties of the job, employee is regularly required to stand, walk, sit, and use hands to handle objects, tools, or controls.
  • Ability to process vague, abstract verbal, and written instructions.
  • Ability to work under stress, with interruptions and tight deadlines.
  • This position will require copious time in front of a computer screen.
