Administrative Program Associate
MISSION:
The mission of the Institute for Shelter Care is to equip shelter providers to service victims of exploitation through research, training, tools, and community.
POSITION SUMMARY:
The role of the Administrative Program Associate is to support the administrative functions of our various Program areas: Research, Academy, Network, and Affiliates and contribute to the efficiency of our business processes. The Administrative Program Associate reports to the Director of Administration and Operations Manager.
RESEARCH:
· Ensure that industry reports have gone through the process of proofreading, formatting, quote extraction and posting to our Research Library. We average 5-6 reports per year.
· Work with the Finance Department to ensure accurate billing of NCMS customers based on their contracts.
· As needed, provide backup support for the updating of shelter information into our CRM database.
ACADEMY:
· Coordinate travel/logistics for Adjunct faculty.
· Support the process of having adjuncts review courseware and upload any revisions to the LMS.
· Send LMS communication to users and serve as main point of contact for all users.
· Enroll and cancel LMS users for TCM Intensives as well as ShelterU.
· Coordinate on-site intensives with supplies, technology, and hospitality services. We estimate 6-8 times per year.
· Process intensive evaluations into a report.
· Process invoices and expenses for Adjuncts through the Finance office.
· Ensure that all adjunct faculty are under current contract, updated annually.
NETWORK:
· Support the registration and expense reporting processes for the Fortify conference(s).
· Coordinate travel and lodging for speakers.
· Assist in the creation of nametags, gift bags for attendees and/or gratitude for speakers.
· Build forms to capture constituent information.
· Update the CRM with information from Shield Bearers.
AFFILIATES:
· Support the logistics (room, travel, expenses, etc.) for local TBRI training(s).
· Coordinate webinar logistics (scheduling in Zoom, set up registration forms, technical support during events, and follow-up communications and evaluation).
· Tracking/processing for affiliate registrations (Ministry Fundamentals, TBRI Affiliates).
· Build forms in zoho in support of program information-gathering needs.
QUALIFICATIONS AND REQUIREMENTS:
· Minimum of an Associate’s degree attained or in progress.
· Minimum of 3 years in nonprofit or ministry work.
· Highly organized with a proven ability to create systems of efficiency and economy.
· Exceptional skills in using MS Office: Word, Powerpoint, Excel, and CRM tools.
· Excellent communication and multitasking skills.
· Detailed reviewer for accuracy and correct grammar.
· Affable nature with the ability to think on one’s feet and respond.
· Excellent work ethic.
· Relies on Biblical principles for discernment and decision-making.
SCHEDULE AND BENEFITS
· This position is a full-time in-person salaried position based on an average of 40 hours/week. However, assuming the candidate can be available at higher levels during on-site training weeks. Some evening or weekend hours will be incurred.
· The Institute is a national organization with executive hub located in Louisville, KY.
· The Institute upholds a 90-day probationary period on new hires.
· Employees are granted 6 company-selected holidays and 10 days/year of paid leave, to be used as desired, with supervisor’s pre-approval.
· Employee must furnish his/her own computing and communications technology.
· Employee has the option of participating in employee health insurance, 401k program, and/or educational stipend benefit.
