JOB TITLE: Administrative Assistant
Summary:
The scope of this requirement is to provide Flight Training Operations Support (FTOS) functions to AETC training squadrons. FTOS functions include Standardization & Evaluation (Stan/Eval) support, Training Support, and aircrew Scheduling/Programming support. The focus of work shall be to support non-flying duties in training squadrons that personnel on flying status traditionally perform as additional duties. Performance locations are active duty training squadrons across AETC locations and are subject to change. Support is required to ensure complete coverage of the command’s overall flying operations support requirements. It will be necessary to provide qualified, experienced subject matter experts (SMEs) for each function. This includes giving personnel, services, and management support to accomplish the objectives.
DUTIES AND RESPONSIBILITIES:
Operate office equipment such as fax machines, copiers, and phone systems and use computers for spreadsheets, word processing, database management, electronic mail, and other applications.
Be proficient in preparing reports, memos, letters, forms, briefings, emails, and other documents using Microsoft Office, Word, Excel, and PowerPoint software with the ability to make changes to Word documents; modify Excel spreadsheets and PowerPoint presentations to enhance their effectiveness or to repair/correct minor errors.
Utilize the Graduate/ Training Integrated Management System (GTIMS) and comparable weapon system specific Training Management System (TMS) or equivalent; GTIMS, TMS, Patriot Excalibur (PEX), or equivalent will be referred to as Management Systems (MS) for the remainder of this document.
Pose a working knowledge of organizational and functional responsibilities, as well as the corporate relationships of their assigned unit, will greet visitors, answer phones, provide information to callers, and take messages or forward calls to appropriate individuals. Additionally, provide customer service as needed and respond to information requests directed to their office.
Review work section products; check for correct grammar and spelling; and ensure compliance with group, wing, and higher headquarters policies and instructions. They will need to compose, type, and distribute notes, routine correspondence, and reports in the format established by their assigned organization.
Prepare official document policies and instructions, create and maintain continuity folders containing job responsibilities, procedures, points of contact, templates, forms, and associated task documentation, and complete any necessary training requirements as needed.
QUALIFICATIONS:
Minimum of two (2) years of experience working in a DoD operational flying unit (active duty, guard/reserve, contractor, or civilian).
Minimum of one (1) year of scheduling experience working in a DoD operational or training flying unit within the last ten (10) years (active duty, guard/reserve, contractor, or civilian).
Minimum two (2) years of experience working with Microsoft Outlook, Word, Excel, and PowerPoint.
Ability to operate the following systems/programs:
SharePoint websites and communities of practice
Computer-based training scheduling and integrated management system (TIMS, GTIMS, PEX, X-plan)
Microsoft Access is not required but is highly desired
