Job purpose
The Church Administrative Assistant is responsible for providing professional administrative support to the Senior and Assistant Pastors, ministry staff, and Elders and serves as administrative manager for the church office. Serves as the primary point of contact for incoming email and phone calls to direct that communication appropriately.
Basic Requirements
- Proficiency with Windows, Microsoft Office, and Publisher, and an aptitude to learn other necessary church management and communication software.
- Excellent organizational skills needed to manage tasks for time-management purposes.
- Strong research skills and commitment to best practices.
- Ability to clearly and effectively communicate with TPC leadership and staff.
- Strong interpersonal and people skills; work effectively as a team member.
- Adhere to strict confidentiality.
- Ability to work within the Christian faith (not asked to attend the church).
Specific Duties and Responsibilities
Office/Administrative Support:
- Execution of TPC communications, including but not limited to: maintaining timely and accurate information on website, E-news, all-church emails, signs in building, and bulletin announcements.
- Accountable for the day-to-day operation of the church general office functions.
- Serves as Database Administrator for TPC church management database.
- Maintains church master calendar of events and reports changes at weekly staff meeting.
- Processes all incoming mail, emails, prayer requests, and phone calls.
- Point of contact for janitorial staff.
- Print and post regular publications including Sunday bulletin, Sunday school lessons, sermons, etc.
Human Resources:
- Submits background checks for any staff employee, volunteer, and/or contract employee involved in child-related activities, keeping all records and maintaining current background checks as required by TPC’s policies and procedures.
- Maintains policy and procedure manual that is accessible to staff to ensure administrative functioning.
Facilities Management Support:
- Maintain online building usage calendar.
- Maintain communication with pastors, diaconate, and ministry leaders with regard to all details concerning event planning.
- Schedule service providers as needed for maintenance and regular inspection requirements.
- Maintain building key inventory.
- In partnership with the Elders and Treasurer, maintains appropriate insurance coverage for all church properties and activities.
- Works with ministry leaders to ensure policies and procedures are in place for the protection and safety of every person who is on TPC property.
Additional Requirements
- Present in office Monday-Friday, 9 a.m.–3 p.m. (potential for flexibility if hours differ or can only do 4 days per week)
Salary
- Full-time (25-30 hours/week), non-exempt
- Compensation commensurate with experience
Job Types: Full-time, Part-time
Pay: $17.00 - $19.00 per hour
