SUMMARY:

Responsible for all payments of goods and services necessary for the basic operation

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Process accounts payable invoices (construction and property management)Confirm purchase order and amount

Reconcile purchase order pricing to invoice amount
Key invoices into system

  • Handle vendor calls
  • Confirm unconditional waivers before issuing final payments to subcontractors.
  • Select construction company invoices for payment based on due date, discounts and availability of funds
  • Reconcile vendor statements to vendor activity in accounts payable
  • Procure W-9’s and insurance certificates from vendors/subcontractors
  • Follow up on expired insurance certifications for active subcontractors
  • Prepare 1099’s for the construction company
  • Prepare and submit monthly/quarterly sales & use tax report to State Board of Equalization
  • Communicate with co-workers, management, clients, and others in a courteous and professional manner.
  • Special projects as required

· Accurate use of grammar, spelling and punctuation in all communications

· Strict adherence to the attendance policy is required. Attendance and punctuality are an essential function to this position

Education/Experience:

· BS or BA preferred. AA or One to two years related experience and/or training; or equivalent combination of education and experience

· General knowledge of accounting and understanding of the general ledger accounts and how they relate to invoices.

· Detailed oriented. Good with basic math.

· Able to work in team environment

Computer Skills:

To perform this job successfully, an individual should have knowledge of:

· Word Processing software, Spreadsheet software, Accounting software, Timberline and Yardi

· Perform other related duties as assigned

Ability to sit in front of and work at a computer for a good portion of the day; remaining in a stationary position 50% of the time. Ability to stand, squat, lift when filing documents in large drawers or cabinets. The employee is occasionally required to move around the office building.
